Ensures subordinate supervisors and professionals adhere to defined internal controls. Manages systems and procedures to protect departmental assets.
Manages a student academic advising unit in a department, school or college. Formulates policies and procedures for the student academic advising program. Develops the long term organizational goals of the unit. Manages the financial and human resources for the program.
The School of Business at the University of California, Riverside is a nationally-ranked and internationally-recognized AACSB-accredited business school. The Director of Undergraduate Business Programs will be responsible for overseeing the Academic Advising and Student Services program for the Undergraduate Business Programs Office in the School of Business. This position will supervise a team of 5 including one assistant director, three academic advisors along with one program assistant. The director oversees the student affairs administrative and instructional support functions including: advising, admissions, outreach and recruitment, scheduling, registration, staffing of instructional programs, undergraduate student support, and student enrichment/diversity. The director leads the marketing, outreach and recruitment of potential students, orienting and enrollment of students, the process of projecting enrollment demand, scheduling courses to support timely degree progress, as well as, developing advising and mentoring programs, services and processes to support students' on-going academic and career development. The director oversees the provision of all scheduling, enrollment management, advising, mentoring and enrichment services supporting the School and students enrolled in the departments' areas of concentration; development, distribution and dissemination of information regarding university, college and department policies, procedures and requirements; certification of degree completion with respect to university, college and major requirements; policy translation, consultation, accreditation, administrative and analytical support for the Dean, Associate Deans, Area Coordinators, departments and the School's Executive Committee. The incumbent exercises leadership and discretionary authority to solve managerial and programmatic concerns; utilizes a high degree of independence, ingenuity and analytical skills to resolve complex problems without precedent and/or structure. The director will act as the liaison between the School and external offices (Campus, UC-wide, public) on a variety of matters related to the undergraduate business program office. Establishes and implements new, and refines existing, academic programs, policies, and procedures (such as, 4-year program, MBPP, newly established partnerships relating to the undergraduate business program). The incumbent organizes, develops, documents and implements best practices for student affairs unit that are in compliance with UC policies and federal, state, and local regulations. Conducts process re-engineering where needed, manages data and prepares statistical reports for self and others, and conducts short and long-term planning. The director actively participates in the short- and long-term strategic planning for the unit curriculum and programs. In collaboration with others track industrial trends to insure curricula are in line with industry and that program offerings remains competitive. The director maintains the program office budget and oversees the planning, management, and coordination in alignment with the mission, goals and objectives. Manages staffing levels and provides leadership and supervision to a professional academic advising and student services office.
- Strong supervisory skills and experience to monitor production and quality of work, and set performance standards. Ability to assess staff capabilities and to delegate, assign and redistribute work as necessary. Ability to teach/train staff in all aspects of job duties/responsibilities. Monitors and evaluates employee performance; and conducts corrective action, if necessary. Coordinates efforts for the recruitment and selection staff within unit. (20%)
- Develops, interprets, and administers student academic programs for a department, college or school. (15%)
- Strong knowledge of undergraduate programs, administration of curriculum, fiscal, and personnel activities. Ability to analyze policies and procedures and advise students, faculty, administrators and others about requirements.
- Provides direction to professional student academic advisors on the more complex issues encountered. (10%)
- Advanced knowledge and experience with academic advising and counseling techniques. Comprehensive understanding of academic programs, processes, and operations in a large public research university.
- Evaluates the effectiveness of the student academic advising function, and makes changes to the program to provide better service to organizational management, faculty, and students. (10%)
- Organizes, develops, documents and implements best practices that are in compliance with UC policies and federal, state, and local regulations. Actively participates in the short- and long-term strategic planning for the unit curriculum and programs.
- Plans, develops, and administers the student academic advising budget for the organization. (10%)
- Decides which resources will be committed to goals and objectives and how they will be allocated. (10%)
- Demonstrated experience monitoring/assessing people, processes or services, to make improvements. Strong demonstrated understanding of good management, administrative and personnel practices.
- Responsible for conducting research, data analysis and drafting proposals as needed for special projects to address college challenges including proposing changes to current college service delivery models and to ensure the college meets undergraduate student enrollment needs and student service benchmarks to increase undergraduate retention and graduation rates. (10%)
- Works with college/school senior management to plan and manage the academic advising function of the organization. (5%)
- Responsible for interpreting organization policies and advising students and faculty on student conduct, student grievances, disputes, and issues regarding discrimination.
- Represents the student academic advising unit to the organization community and relevant external constituencies. (5%)
- Work to develop new advising methodology, software, and tools that incorporates best practices and is cutting-edge.
- Other duties and special assignments as assigned by the School Dean, Associate Dean of the Undergraduate Business Program, and/or Others on special projects (e.g., workshops, recruitment, presentations, and off-campus visits). (5%)
- Bachelor's degree in related area and/or equivalent experience/training.
- Minimum of 9 years of related experience.
- Abilities in problem identification, reasoning, ability to develop original ideas to solve problems, persuasion and leadership.
- Skills in project management and social perceptiveness.
- Advanced knowledge of advising and counseling techniques.
- Skills in monitoring/assessing people, processes or services, to make improvements.
- Ability to manage projects/initiatives from inception to adoption; along with evaluation after adoption for improvements/modifications.
- Demonstrated ability to extract pertinent information from computerized databases and other sources, conduct analyses, and prepare proposals and reports.
- Advanced working knowledge of Excel and demonstrated ability to develop complex statistical analysis, forecasts and data projections related to undergraduate programmatic matters.
- High-level critical thinking and interpretive skills to analyze situations, define problems, identify concerns, develop, propose and implement solutions. Creativity to analyze and solve unusual and new problems in ways that establish effective and efficient procedures.
- Excellent communication skills, written and verbal. Ability to write concisely, persuasively, and in summary form. Skill to compose, edit and proofread narrative sections of printed information. Ability to express verbally one's position, plan of action, evaluation or interpretation in a professional, concise, and courteous manner.
- Multicultural competencies; ability to work with diverse populations. Strong demonstrated skills to articulate complex program requirements to a variety of individuals with broad educational, cultural, and language backgrounds in a pleasant and courteous manner.
- Skills and knowledge to supervise, delegate and set priorities. Ability to adjust to shifting priorities and work under short deadline situations while maintaining composure.
- Excellent interpersonal skills to communicate with faculty, students and staff using tact, diplomacy and discretion. Strong negotiating skills to resolve conflicts among staff, faculty, and students. Strong leadership, organizational, negotiation, decision-making and management skills.
- Ability to analyze work situations and implement long range plans to develop systems and procedures to fulfill complex organizational needs.
- Advanced degree in Counseling, Student Development, Education, or other related area.
- Previous supervisory/managerial experience.
- Minimum of 3 years of experience advising business major (or related) students.
- Minimum of 3 years of experience leading a higher education academic advising unit.
